How To Add Exchange Email Account To Your Mac And iPhone

Do you have an Exchange email account? Many people think that they have to use Microsoft Outlook on their Mac to access an Exchange account. This is not true. Apple’s Mail application on both Macs and iPhones can be used instead. Here are setup instructions.

On Your Mac

If your Mac is using macOS 12 Monterey or older, use the instructions listed in Section 1.

If your Mac is using macOS 13 Ventura or newer, jump to Section 2.

Section 1 – if your Mac is running macOS 12 Monterey or older
  • Click on the Apple menu and select System Preferences.
  • Click on Internet Accounts.
  • On the right-hand side click on Exchange.
  • Fill in your real-world name and the email address of the account you wish to add.
  • Click the Sign In button.
  • You’ll be asked if you want to Configure Manually or Sign in.
  • Click the Sign In button. This option works for most Exchange accounts and requires you to enter less information. Note: If selecting Sign In does not work, then you could try again using the Configure Manually option. In this case, you’ll need to enter the name of the Exchange server and possibly other details.
  • Enter the password for the Exchange account you wish to add.
  • Click the Sign In button.
  • Wait for your account to be set up. This typically takes 10-20 seconds.
  • Once setup you’ll be asked which services you want to enable such as Mail, Contacts, Calendar, Reminders and Notes. Enable the desired features, which may only be Mail.
Section 2 – if your Mac is running macOS 13 Ventura or newer
  • Click on the Apple menu and select System Settings.
  • Click on Internet Accounts.
  • Click on Add Account button.
  • Click on Microsoft Exchange.
  • Fill in your real-world name and the email address of the account you wish to add.
  • Click the Sign In button.
  • You’ll be asked if you want to Configure Manually or Sign in.
  • Click the Sign In button. This option works for most Exchange accounts and requires you to enter less information. Note: If selecting Sign In does not work, then you could try again using the Configure Manually option. In this case, you’ll need to enter the name of the Exchange server and possibly other details.
  • Enter the password for the Exchange account you wish to add.
  • Click the Sign In button.
  • Wait for your account to be set up. This typically takes 10-20 seconds.

On Your iPhone
  • Wake your phone and tap on Settings.
  • Scroll down and tap on Passwords & Accounts.
  • Tap the Add Account button.
  • Choose Microsoft Exchange as the type of account you’re adding.
  • In the field named Email type in the email address of the account you wish to add.
  • In the Description field type in a descriptor that is meaningful to you.
  • Tap the Next button.
  • You’ll be asked if you want to Configure Manually or Sign in.
  • Click the Sign In button. This option works for most Exchange accounts and requires you to enter less information. Note: If selecting Sign In does not work, then you could try again using the Configure Manually option. In this case, you’ll need to enter the name of the Exchange server and possibly other details.
  • Enter the password for the Exchange account you wish to add.
  • Tap the Next button.
  • Wait for your account to be setup. This typically takes 10-20 seconds.
